Envrionmental Leadership Programme (ELP) Privacy Policy

  1. Who are we?

The West Midlands Environmental Leadership Programme 2 (ELP2) is a project initially powered by UpRising and Shropshire Wildlife Trust (SWT) and funded by the National Lottery Community Fund. ELP2 is addressed to 18-25 year olds based in the West Midlands and aims to combine UpRising's record of engaging and supporting young people from all communities with SWT's experiences of outdoor learning, building nature connection, and community campaigns.

As of Monday 24th February 2025, the ELP2 project was transferred from UpRising to a new home within the Royal Society of Wildlife Trusts (also 'RSWT' and 'we' or 'us'). RSWT will be the data controller of the personal data processed in the context of the ELP2 project as they will decide how data will be processed and the purposes for processing. RSWT are, therefore, notifying the relevant stakeholders to update them of this change and circulate an opt-in content form to allow the recollection and processing of the up-to-date stakeholder data. This data will be held by RSWT as part of the ongoing ELP2, and therefore, any queries or concerns should be directed to:

  1. Why do we collect and process your data?

ELP2 uses the personal information we collect about you for the following purposes:

  1. Contacting you about engagement opportunities, such as supporting the programme as a guest speaker, facilitator, mentor, host or coach.
  2. Sending communications about project news and events or other relevant information.
  3. Sending you surveys and feedback after programmes you have supported.
  4. Taking and making use of photographic images in publications and on our website.
  5. Within our reporting for project funders.
  6. Internal record keeping, such as to ensure our records are accurate and up-to-date.
  7. Understanding how you use our services and website.

Please note that information may also be anonymised for evidence and research purposes. We use two different lawful bases for processing your data:

i) Legitimate interest
This is where we have identified a genuine and legitimate reason for processing your personal data, which crucially does not override your rights or interests.

ii) Opt-in consent
This is where you have given us explicit consent to contact you via specific communication channels. Points 1-4 are examples of where ELP2 may seek your consent to process your personal data for a specific purpose. ELP2 gives you a clear opportunity to withdraw your consent at any time you wish.

  1. Who is your information shared with?

We will not sell, distribute, or lease your personal information to third parties unless we have your permission or are required by law to do so. RSWT may share personal data with subcontractors or suppliers to provide us with services, such as to provide applications or cloud-based software, data processing, or IT services.
These third parties (called "data processors") process your personal data on our behalf and under our instructions.

  1. Security and Retention provisions

We are committed to ensuring that your information is secure. All the personal data we process is processed by our staff in the UK. However, for the purposes of IT hosting and maintenance your information may be stored in data centres outside of the European Economic Area (EEA). This will be done in accordance with the UK statutory and regulatory requirements and in line with our internal policies and procedures.

ELP2 will only use and store information for as long as it is required and for the purposes it was collected for. If we need to keep information for longer (e.g., reporting purposes) then any personal data will be anonymised.   1. Your rights

We respect your right to control your data. Your rights include:

  • The right to be informed how personal data is captured, stored, managed and protected.
  • The right of access to request a copy of the personal data information held about you.
  • The right to rectification of inaccurate or incomplete information about you.
  • The right of erasure to request personal data be removed from our records in certain circumstances.
  • The right to restrict processing and limit the way we use your personal data.
  • The right to data portability gives you the right to obtain your personal data in a portable format for your own purposes.
  • The right to object to the processing of your personal data.
  • Rights in relation to automated decision making and profiling. We respect your right not to be subject to a decision that is based on automated processing.

We also use data such as email for tracking purposes. Hashed data is used to create targeted advertising for our fundraising and campaigning activities on social media and web platforms.  

Hashing means that data such as email addresses are turned into unreadable codes for security and privacy during data transfer. We delete the hashed data after a short period of time and it's not used for any other purpose. 

This helps us reach and inspire new people to take meaningful action for nature and to create an inclusive society where nature matters. It's both cost-effective and helps us grow support for wildlife. 

If you opt into Marketing Cookies when using our website we will employ Google Analytics, a web analysis service provided by Google LLC. We also employ Google Ads conversion tracking, Google remarketing and Google Signals, all of which are services offered by Google.

We implement Google Analytics to track, monitor and report on websiite traffic. Google Analytics uses cookies and similar technologies to analyse and enhance our website based on how people use it and their behaviour on the website.

Google Ads conversion tracking and Google Ads remarketing employ cookies and similar technologies to measure the performance of our advertising and to display personalised advertising messages on websites collaborating with Google. This helps us to efficiently reach people to support our work and protect wildlife for the future.

Google Signals, integrated with Google Analytics, creates data reports from multiple platforms or devices from people who are signed into their Google accounts, but only if they have enabled personalised advertising within their account. This information may include a person’s location, search history, YouTube history and data from sites that partner with Google. It is used to provide aggregated and anonymous insights into behaviours across more than one device.
